SUMMARY: Assists the Plant Operations Director in the execution of their duties. Processes payments to contractors, notifies contractors to respond to community needs, maintains departmental expense reports, interfaces with Residents regarding work order status and communicates with Residents about construction happenings throughout the community. Analyzes problems, determines approach, compiles and analyzes data, prepares reports and recommends appropriate action. Assists security and maintenance departments with emergencies as needed. Work is generally of a confidential nature and requires a broad working knowledge of departmental and Company practices, policies and procedures. Construction office background is helpful, general administrative background preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned:

  • Provides quality Customer Service efficiently to residents, families, co-workers and vendors in a manner to ensure satisfaction.
  • Contacts company personnel at all organizational levels to gather information and prepare reports.
  • Prepares memorandums outlining and explaining administrative procedures and policies to Residents and staff.
  • Schedules appointments, gives information to callers, composes and sends correspondence.
  • Assignments may be found in various functional areas of the company such as maintenance and security.
  • Supports residents with technical issues.

EDUCATION and/or EXPERIENCE : One to two years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS : Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS : Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY : Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Final candidates must successfully complete a pre-employment physical, drug screen and criminal background clearance.
